The meeting took place at the headquarters of Vietnam Television. It was attended by Mr. Dinh Dac Vinh, Deputy General Director of Vietnam Television and Head of the ABU Robocon 2024 Organizing Committee, and Ms. Nguyen Thi Hanh, Vice Chairwoman of the People's Committee of Quang Ninh Province and Standing Deputy Head of the ABU Robocon 2024 Organizing Committee, along with representatives from various VTV departments, the Quang Ninh Provincial Police, the Department of Culture and Sports of Quang Ninh, the Quang Ninh Media Center, and the Office of the People's Committee of Quang Ninh Province.
Speaking at the meeting, Ms. Nguyen Thi Hanh expressed Quang Ninh's honor that Vietnam Television has chosen the province to co-host the Asia-Pacific Robot Contest 2024.

"This is a great responsibility to contribute to the overall success of the contest. Vietnam Television has taken on complex and difficult tasks that we are not specialized in. Therefore, we will ensure support and logistics to make the contest safe and convenient, " the Standing Deputy Head of the ABU Robocon 2024 Organizing Committee said.
Speaking on behalf of Vietnam Television, Deputy General Director Dinh Dac Vinh noted that VTV has years of experience in organizing ABU Robocon in Vietnam, with significant support from local authorities. This year, with the support from the People's Committee of Quang Ninh Province, all tasks have become easier, ensuring readiness to welcome international delegations and successfully organize the contest.

During the meeting, both parties reviewed the preparations for ABU Robocon 2024. The Asia-Pacific Robot Contest is scheduled to take place from August 19 to August 28, 2024, at the Quang Ninh Sports Complex in Dai Yen Ward, Ha Long City, with official activities occurring from August 23 to August 27, 2024. Specifically:
- From August 19 to August 22: Construction of the stage and competition area, and installation of banners.
- August 23: International delegates arrive in Quang Ninh.
- August 24: Teams gather, test the competition area, and calibrate their robots.
- August 25: Official competition day for ABU Robocon 2024. The event will be broadcast live by Vietnam Television and simultaneously by NHK (Japan) on digital platforms.
- August 26:
+ Workshop and exchange on robot technology among international teams.
+ Workshop among international broadcasters to discuss ABU Robocon 2025 content.
+ Tours for teams and delegations to Quang Ninh's sights.
- August 27: Delegations leave Quang Ninh.
Ms. Tran Ha Trang, Head of the Division of Science and Technology - Education and Science Program Department, Vietnam Television, and General Director of the show, noted that this year’s ABU Robocon will be attended by 13 teams from 12 countries and territories, with Vietnam represented by two teams from Hung Yen University of Technical Education.

Supporting the teams during ABU Robocon 2024 activities will be a group of carefully selected volunteers and interpreters from Vietnam Television. Additionally, to energize the competition atmosphere, a professional cheering squad of 200 people from the host unit will join the supporters of the participating teams.
During the meeting, Vietnam Television also discussed preparations to ensure security and safety during the contest with the People's Committee of Quang Ninh Province. Both parties reviewed arrangements for the competition venue, including indoor and outdoor spaces, electrical systems, air conditioning, Internet connections, functional rooms, testing areas, and press zones.

The representative from the People's Committee of Quang Ninh Province also assured the provision of security, traffic safety, healthcare, food safety, and environmental hygiene at the competition venue, accommodation within the ABU Robocon framework.
